AI Scalp - Terms and Conditions of Booking, Payment, Cancellation, and Refunds
1. Introduction
These Terms and Conditions govern the booking, payment, cancellation, and refund policies for all treatments and training services provided by AI Scalp ("we", "our", "us"). By making a booking or purchasing services, you ("the client", "you") agree to these terms.
2. Bookings and Payments
2.1 Booking Fee
All payments made at the time of booking are referred to as "booking fees". These fees are paid to reserve your appointment and are non-refundable. The booking fee will be deducted from the total cost of your treatment at the time of your appointment.
2.2 Booking Fee Amount
The booking fee for consultations is £50. This fee is payable at the time of booking and may be credited against your treatment costs if the treatment is carried out within one month of the consultation.
2.3 Use of Booking Fees
The booking fee is intended to secure your appointment and cover administrative costs. It cannot be transferred, refunded, or used as credit outside the scope of the booked appointment.
2.4 Medical and Contact Information
Clients are required to provide valid photo ID if requested and current contact details, including address, telephone number, and email address, to secure an appointment.
2.5 Medical History
All clients must complete a Medical History Form at their first appointment. This information is treated confidentially and used solely to inform treatment planning in accordance with Data Protection legislation.
2.6 Data Protection
Client information is handled in compliance with the UK Data Protection Act 2018 and GDPR. Information will not be shared with third parties without explicit consent. Clients may unsubscribe from marketing communications at any time.
3. Appointments
3.1 Scheduling and Notice
Clients are encouraged to give at least 48 hours' notice for cancellations or rescheduling.
During busy periods, a reservation fee (equivalent to the consultation fee or treatment fee) may be required to secure treatment slots, which is non-refundable but deductible from treatment costs if attended.
3.2 Cancellation Policy
We operate a 48-hour cancellation policy.
Cancellations or changes made less than 48 hours before the appointment will result in full charges for the treatment, and the booking fee will be forfeited.
Failure to attend without prior notice will be treated as a late cancellation/no-show, and full payment will be taken.
3.3 Health and Wellbeing
Clients should not attend if they are unwell, especially with cold, cold sores, or skin infections, as many treatments may be contraindicated.
3.4 Children
AI Scalp does not treat clients under 18 and requests that children do not accompany clients into treatment rooms.
4. Payment Terms
Consultation Fee:* £50, payable at the time of booking.
Treatment Payment:* Full payment is due *at the time of treatment**.
Accepted Payment Methods:** Cash, debit, or credit card.
Reservation/Booking Fee:* May be required to secure certain treatments or appointments, which is *non-refundable**.
5. Refunds and Cancellations
5.1 Treatment Fees
Fees cover consultation, assessment, products, and aftercare.
We do not guarantee results and cannot provide refunds for treatment outcomes.
All packages must be paid in full before treatment starts.
Packages and treatments are non-refundable and non-transferable**.
5.2 Cancellation Policy
The booking fee is non-refundable.
Cancellations or failure to attend within 48 hours of the appointment will result in full payment being charged, and the booking fee will be forfeited.
No refunds will be issued for late cancellations or no-shows.
5.3 Packages
If a client cancels or misses an appointment with less than 48 hours' notice, the treatment must be paid for in full or deducted from any existing package or course.
6. Feedback and Complaints
Feedback, both positive and negative, is appreciated and used to improve our service.
Complaints should be raised promptly with the clinic. A copy of our Complaints Policy is available upon request.
Dissatisfaction with treatment outcomes should be logged directly with the treating practitioner or clinic.
7. Confidentiality and Data Protection
All client information is treated with confidentiality and handled in accordance with the Data Protection Act 2018 and GDPR. Information will not be shared without explicit consent. Clients can unsubscribe from marketing communications at any time.
8. COVID-19 and Regulatory Compliance
Appointments may be rescheduled to comply with government guidelines.
Reservation fees will be secured for rescheduled appointments but are non-refundable.
Clients are required to adhere to all safety and social distancing measures communicated by AI Scalp.
9. General Terms
Children:** No treatments are provided for clients under 18; children are not permitted in treatment rooms.
Health:** Clients should inform us if unwell before appointments.
Legal:** Making false statements or defamatory comments about AI Scalp or staff may result in legal action.
10. Acceptance of Terms
By booking an appointment or purchasing services, you agree to these Terms and Conditions. AI Scalp reserves the right to amend these terms at any time with notice.
